Volunteers | Event

In 2009 Oak Ridge Rowing celebrates 30 years of rowing excellence. This looks to be the biggest and one of the best regatta seasons to date. As in the past Oak Ridge's regatta success has been based in the volunteer spirit of the community. This year will be no exception, to make this happen Oak Ridge Rowing will need 1250 volunteers to cover over 5000 hours of the events. The 2009 schedule includes local events hosted by Oak Ridge Rowing three Regional Championships and three National Championships.

Whether you know very little about the sport of rowing or are a passionate follower of the sport. This is your chance to get involved and leave your mark. By getting involved as a volunteer, you could be joining a team of 1250 who’ll be welcoming the nation to the Oak Ridge-Knoxville metro area.

We’re looking for a volunteer team that shares our values of excellence, teamwork, creativity, sustainability and trust. If these words speak to you, read on. We’d love to tell you more about what it takes to join our team.

We're need volunteers who are available before, during and after the 2009 regatta season. We encourage everyone to apply, but please keep in mind that the more time and flexibility you have, the more opportunities there may be for you to get involved. You must be 13 years old the day of the event to apply for a volunteer role. You’ll need a valid e-mail address and access to the Internet to access this information.

Our venue is all outside dress anticipating inclement weather and the likelihood of getting wet, wear layered and waterproof clothing and a hat, sunscreen and gloves. Docks may become slippery so wear appropriate footwear. Do not wear any red clothing while performing jobs near the course. This is because a red flag is used to stop a race. A Personal Flotation Device (PFD) must be worn at all times while performing jobs on the water.

There are many areas of the Venue that need your help. Some of these positions require little or no rowing experience while some require the seasoned veteran. Please let us know your experience and please specify your shift preference on the Sign Up page. Check out our list of job descriptions on the right side of the page for a closer look. There are many chances for you to get involved; you’ll be asked if you’re interested in volunteering for specific regattas on the volunteer application form. Please choose all the events that you are able to assist with.

The experience of our volunteers is extremely important to us. That’s why all volunteers are provided with the training necessary to perform their roles. There will be two training sessions that volunteers will need to attend prior to the first competition day each will cover the following:

  • General- venue orientation - This session covers information about the venue that is relevant to all volunteers. It includes event details such as sport background, competition details, check-in times and location, meals, breaks, and safety and medical information.

  • Job-specific training - This role-specific training session is conducted by supervisors. It covers specific duties assigned to teams, health and safety rules, equipment use, policies and daily procedures. It’s also an opportunity to meet the rest of your team.

  • You will be given an armband, Parking pass, T-shirt, or other items to identify you as a volunteer.

Individuals wishing to volunteer should sign-up for a volunteer opportunity. The day of the event please report to the volunteer tent at the regatta, sign attendance sheets and insurance waiver. Please indicate both time of arrival and time of your departure in order to receive volunteer credit for the number of hours worked.

Volunteers | Host Home Program

The USRowing Women’s National Rowing Team returns to train in Oak Ridge, Tennessee. Fresh from thier GOLD medal performance at the 2008 Beijing Olympic Games. The US National Team Women last trained in Oak Ridge in 1996 preparing for the Atlanta Olympics. Many improvements to the course and venue have peeked interest in the Oak Ridge Rowing venue as one of the top venues in the country for training and competing. The Women’s National team will be here May 25th through June 8th training for the 2009 World Cup  in Munich, Germany held June19th to 21st.rower2
The Oak Ridge Rowing Association (ORRA) wants to provide these ladies a very different experience from other training camps. ORRA traditionally encourages athletes training and competing here to stay in area hotels. However, We are looking for unique experience for the athletes and part of that is the ORRA Host Home Program. This program will provide the visiting elite athletes an opportunity to stay in a friendly home with a local family while training in Oak Ridge.
All host homes will need to be located in areas within a twenty minute drive of the ORRA Rowing venues. The variety of the families in Anderson and Knox county reflect the wide diversity of our population. Athletes are provided, at no charge a private bedroom or one or shared with another training athlete this includes linens, bed, lamp, and a place for clothing. Access to bathroom that includes clean of linens & towels. When possible, kitchen privileges to store food and prepare meals. ORRA would prefer English is the primary language used in the home.

Who can be a Host Home?

  • Two parent families
  • Single parent families
  • Families with children
  • Extended families (relatives living with the family or individual)
  • Single individuals
  • Homes with pets
  • Non-smoking homes preferred, homes with smokers accepted

Athletes are placed once the hosts complete applications to give us somebasic personal characteristics, schedule requirements and preferences. ORRA gives that information to the visiting Head Coach to match athletes with an available host home. Athletes will be placed in homes by the US Team Coaching staff to maximize the benefit of the host and athlete. ORRA cannot always guarantee that we can meet all requests.rower1
Regarding pets: Many families have pets, the most common house pets are cats, dogs, and, birds. Pets should be groomed and flea free. Athletes traveling with pets may have a more difficult time being placed in the Host Home program.
Athletes will be expected to abide by the same reasonable rules of behavior that family members follow.  Quiet hours, television use, computer use, and family meal times will vary and should be discussed when hosts and athletes meet.
Regarding meals: Host families are not expected to provide meals for visiting athletes.  Host families are often busy and may not always eat at a set time or all together.  Visiting athletes may be scheduled for training at various times during the day which would conflict with family meal time.  During the week, athletes may follow a special training diet and may prefer to prepare their own meals or eat out with team members.  With all this being said, meal time can be a wonderful time for conversation and sharing between athletes and hosts, and is encouraged when convenient for both parties.  
Some of our homes allow wireless Internet access, but some do not. We do not guarantee Internet availability in our homes, but athletes are welcome to bring their own laptop for Wi-Fi connections at ORRA venue or at some local restaurants. Please remember that the use of the phone line for the Internet may limits access to the phone for other family members and guests. Be sensitive to the needs of others at the home.

Hosts are welcomed to be involved, host families are also invited to join the ORRA volunteer crew during ORRA events.

Oak Ridge Rowing has established regatta volunteers responsiblities into seven zones. Volunteers are asked to review task and select the zone(s) that best fit you. You may choose more than one if you wish. You will be contacted by the ORRA Volunteer Coordinator to discuss where in the zone you selected is the available and best match for you.THANK YOU

ZONE 1: Course

  • Course Captain - Oversees the installation, and removal of regatta course. Manage event course maintenace crews durring events.
  • Course Crews - Assist the Course Captain with the maintenace of the regatta course.
  • Surveyior - Sight in and verify the truenes of the regatta course.

ZONE 2: Start

  • Starting Line Coordinator - Schedule stake biat holders for each shift of the regatta. Helps boats move in and out at start fingers
  • Stake Boat Holder - Ly on dock to hold boats at starting line and moves starting fingers in and out per race Must follow official’s orders using headphone.
  • Start Area Prep - PA System, Aligner Station, Ferry Boat, Starter Station, Start Platform Signage before the event is scheduled to begin.
  • Start Area Clean-Up - PA System, Aligner Station, Ferry Boat, Starter Station, Start Platform Signage after the event is scheduled to end.

ZONE 3: Trailer Area

  • Launch Dock Coordinator - Work with control commission refs to insure crews are checked-in, launched, and landed safely, and at the correct times.
  • Heat Announcer - Using heat sheets, announces first and last calls for heats. Check off boats as they are launched
  • Oar Carriers- Assist crews on and off the docks. Long hours, rain or shine right in the middle of all of the excitement. Keep docks clear of unnecessary gear, help wash the docks prior to start of regatta.
  • Venue Attendants - Restore for next day everything must be put away (boats, signs, equipment, etc.),Pick up trash on venue.
  • Trailer Area Prep -

  • Traffic - Parking Attendant, Check parking passes, Suggest alternate parking,
  • Trailer Parking -

ZONE 4: Fleet Operations

  • Fleet Coordinator - This person is responsible for all motorcraft (powerboats, motors, life preservers, anchors, and oars), prior, during and after races. Also responsible to provide launches with gasoline.
  • Launch Drivers -Drive boat (tiller or remote), Follow races with officials, Check fluids in boats, Operate boat , Mandatory drivers clinic TBA (2-4 pm) 
  • Fleet Prep -

ZONE 5: Headquarters

  • Boathouse Coordinator - Office attendant, Sit in boathouse office and answer questions,
  • Hospitality - Prep and maintain referee/volunteer area including breakfast and lunch distribution as needed.
  • Bathroom - Maintain clean supplied bathroom every two hours, Deal with crap!
  • Office -
  • Runners - Be on hand to assist with needs, Runner between stations by foot or bicycle.
  • Awards - Organize awards by places for presentation, and record the distribution.

  • Information - Answer questions. Collect lost and found.

ZONE 6: Finish

  • Finish Tower Coordinator -
  • Finish Timer - You will work at the finish line to help determine shell timing and placement. You will need to be able to operate a stopwatch effectively in order to time the split time for the shell in your assigned lane.
  • Communication - Use radios, cell phones to communicate with boathouse
  • Flag holder - Hold flag to indicate boat crossing finish line
  • Video Review - Person to run video camera

ZONE 7: Administration

  • Regatta Chairman - Oversees all aspectes of all schedule events on the venue.
    • Responsible for maintaining the overall events calendar and distributing updates.
    • Acts as Chair of Regatta Committee.
    • Solicits regatta directors for the scheduled regattas and coordinators for the venue zones.
    • Compiles the annual regatta calendar for the Web site.
    • Attends the Board Meetings and reports regatta status.
    • Develope Logistics plan to support annual event calendar.
    • Answer queries regarding regattas and the club.
  • Regatta Director - Oversee the operations and logistics of one specific event.

  • Volunteer Coordinator - Recruits and coordinates event volunteers. Finds new volunteers for club activities. Maintain tent for volunteers, Direct volunteers to stations, Hand out volunteer shirts. Develope Training sessions for event volunteers.
  • Vendor Coordinator - Recruits and acts as clearinghouse for vendors requesting the opportunity to sell products to event patrons. Ensure that vendors follow civic or business guidlines for operation of booth sales. Maintains positive communtiy relations with local businesses.
  • Merchandise Coordinator - Orders "official" club merchandise and sells the articles at club events.

Position required experienced volunteer.
